How to Plan Network Installation for Your Office

A new network is easy to underestimate until it slows down your team, drops an important call or leaves a new office with too few usable connections. Knowing how to plan network installation properly means looking beyond the router and making decisions that support the way your business works every day.

For a growing Derbyshire business, the right plan should give staff reliable access to the systems they need, protect company data and leave room for change. It should also avoid the familiar problem of having several suppliers blame each other when something goes wrong.

Start with the way your business operates

A network installation should begin with a conversation about people, premises and priorities, not a shopping list of equipment. Consider how many people work on site now, how many may be added over the next three to five years, and where they work. A small professional services office has different requirements from a warehouse, care provider or busy customer service team.

Map out the services that rely on your network. This may include cloud software, shared files, hosted phone systems, CCTV, door entry, printers, guest Wi-Fi, mobile devices and remote access for staff working from home. If a connection fails, which of these services stops first, and what would the cost of an hour of downtime be?

It also helps to identify the non-negotiables before design begins. These commonly include:

  • reliable Wi-Fi in meeting rooms, work areas and communal spaces

  • separate access for staff, guests and business devices
  • secure remote access and appropriate cyber security controls
  • enough capacity for future employees, new software and additional locations

This discovery stage prevents a network being designed only for today’s headcount. Saving a little on capacity at the start can become expensive when cabling needs to be reopened or equipment replaced after a short period of growth.

Carry out a proper site survey

A site survey turns assumptions into a workable installation plan. It should review the layout of the building, construction materials, existing cables, comms cabinet space, power supplies and the route cables will need to take. Review the available internet connections too. Fibre broadband may be suitable for many smaller offices, while businesses with high cloud usage, heavy uploads, large files or a significant phone system may need a faster or dedicated connection. Where downtime would cause real disruption, a secondary connection or mobile failover is worth considering. It is an added monthly cost, but it can be far cheaper than a lost day of trading.

Design the cabling before the furniture arrives

Structured cabling is the foundation of a dependable office network. Wireless is valuable, but fixed connections remain the best choice for desks, printers, servers, switches, access points and other equipment that needs consistent performance. Cabling should be planned before desks, partition walls and flooring are installed wherever possible.

Each workstation may need more than one outlet. A desktop PC, VoIP handset and additional screen or docking arrangement can quickly use available ports. Meeting rooms often need connections for presentation equipment, video conferencing and wireless access points. Reception areas, CCTV locations and door access systems must be included in the same plan rather than added as an afterthought.

Use labelled data points and a documented cable schedule. When a staff member moves desk or a fault occurs, clear labelling saves time and reduces disruption. The same applies in the comms cabinet, where patch panels, switches and power cables should be tidy and easy to trace.

The category of cabling matters, but the answer is not always to choose the highest specification available. Cat6 is suitable for many office installations, while Cat6A may make more sense where higher speeds, longer cable runs or greater future demand are expected. A knowledgeable installer can explain the cost difference in the context of your building and plans, rather than simply recommending more than you need.

Build security into the network design

Network security is not a separate job to be considered once the installation is complete. The layout of the network should limit what happens if a device is lost, compromised or connected without permission.

Separating traffic is a sensible starting point. Staff computers, guest Wi-Fi, CCTV, phones and internet-connected devices should not all sit on the same unrestricted network. Segmentation helps prevent a problem with one device from spreading across the business and gives guests internet access without exposing internal systems.

Your plan should include a business-grade firewall, secure Wi-Fi settings, strong administrator passwords, regular firmware updates and controlled remote access. It should also establish who is responsible for monitoring alerts, applying updates and responding to a suspected incident. Security technology is only useful if it is actively managed.

Think about physical security as well. An unlocked comms cabinet, exposed cable routes or network sockets in public areas can create risks that software alone cannot solve. These details are particularly relevant in shared offices, healthcare settings and premises with regular visitors.

Plan installation around business continuity

The best time to install a network is not necessarily the quickest available date. For an office move, work should be coordinated with the handover date, furniture delivery, internet activation, telephony setup and staff move-in. Internet connections can take longer than expected, so placing the order early is one of the most practical ways to protect the project timeline.

For an existing office, agree which systems can be unavailable, when work can take place and how staff will continue working if there is an unexpected issue. Some installations can be completed outside normal hours or in phases, reducing disruption to customers and employees.

Before the installation is signed off, test the network under normal conditions. Check wired connections, Wi-Fi coverage, internet speeds, phone calls, printing, guest access and remote working. Make sure the business receives a clear record of the equipment installed, cable labels, network layout and support arrangements. Without this information, future changes become slower and more costly.

Make room for growth and ongoing support

A network is not a fit-and-forget purchase. Staff numbers change, cloud applications evolve, security threats develop and offices are reconfigured. Choosing equipment with spare switch ports, allowing capacity in cable trays and installing access points that can be managed centrally makes later changes less disruptive.

It is also worth agreeing who owns the ongoing responsibility. A one-off installer may complete the physical work well, but your business still needs someone to monitor performance, update security equipment, support users and investigate faults across the broadband, Wi-Fi, cabling and phones. A single point of contact is especially valuable when an issue crosses more than one service.
